Job Description
General Purpose
Under the general supervision of an administrative superior, performs working level specialized clerical work requiring advanced knowledge of interrelated departmental paperwork and procedures.

Example of Duties:
(Any one position may not include all of the duties listed, nor do the listed examples include all of the duties which may be found in positions of this class.) Types letters, statements, narrative and statistical reports, minutes, agendas, and other documents as required. May draft routine correspondence. Arranges meetings and coordinates various activities with businesses, governmental entities, or citizens. Processes reports, forms, payments, certificates, applications, or other materials; examines for accuracy and completeness; makes additions or resolves discrepancies consulting with supervisor or other employees as required. Fills in data on standard office forms; maintains records, files, indexes, registers and books according to established methods and procedures; compiles and tabulates data for records and reports; maintains inventories and orders supplies. Accepts fees for payments; balances cash on hand against receipts; prepares and balances deposits; issues receipts, notices, certificates, and licenses and keeps simple records of transactions; makes simple mathematical computations. Receives telephone and personal calls, handling any question or matter of a non-technical or routine nature and directing others to the appropriate staff member; assists visitors in filling out forms and applications as required. Receives and distributes mail to appropriate staff members; provides information to the public, answers inquires, and complaints from the public. Operates computer hardware and all applicable software applications; operates standard office equipment; takes dictation and transcribes shorthand notes or machine recording as required. Operates a motor vehicle in a safe manner and in compliance with all Utah laws and regulations. Performs related duties as assigned.

Education and Experience:
High school graduation plus two (2) years of full time related clerical employment, or an acceptable combination of education and experience.

Special Qualifications:
Employees driving a personal vehicle while on county business must maintain the minimum vehicle liability insurance as specified in the Utah Code. May be required to be bondable. Must possess a valid Utah driver's license. Provide personal transportation for on-the-job travel.

Knowledge, Skills, and Abilities:
Working knowledge of: departmental practices, policies and procedures, standard office computer operations and software applications including word processing, data entry, and spreadsheets. Skill in typing 40 wpm (net); skill in shorthand or Dictaphone as required by the position. This position may require the driving of a motor vehicle; skill in operating a motor vehicle in a safe manner; ability to insure motor vehicle is operating in a safe manner; knowledge of Utah motor vehicle rules and regulations. Ability to: proofread and correct documents and forms; operate applicable computer software and hardware; operate multi-line telephone and modern office equipment; correctly use grammar, spelling, and punctuation; perform routine and detailed clerical duties, follow written and oral instructions, perform basic mathematical computations, establish and maintain effective working relationships with supervisors, employees, other departments, and the general public.

Important Information:
Type certification (40 wpm net) required with application; test must have been taken within the last 12 months. Type test must be taken in the Personnel Office (28 E. State St. #218, Farmington) Monday through Friday 9:00 am – 4:00 pm. In-house applicants may use a type certification already on file with the Personnel Office provided the type requirement has been met. Current Motor Vehicle Report (MVR) and proof of auto insurance required with application. Applicants with a Utah Driver License can obtain an MVR from the Utah Drivers License Division or the Davis County Personnel Office.

  • Employment Application

  • Motor Vehicle Report
    An official and current Motor Vehicle Report (MVR) is required and must be submitted with your application in order to be considered for this position. An MVR can be obtained either from the State Drivers License Division, or the Davis County Personnel Office can obtain an MVR for you (Utah only). If you would like Davis County Personnel to obtain an MVR for you, please indicate on the Davis County Applicant Driving History portion of the application. See image below.

  • Proof of Automobile Insurance
    Proof of current automobile insurance is required with application. Proof of insurance can be a photocopy of insurance card or policy. Proof of insurance must include the applicant's name, insurance company name, and current policy period.

  • Type Certification (40 wpm)
    Successful applicants for this position must type at least 40 words per minute (net); test must have been taken within the last 12 months. Type tests must be taken in the Office of Personnel Management (28 E. State St. #218 Farmington) Monday through Friday 9:00 am - 4:00 pm. Proof of type speed is required with your application. In-house applicants may use a type certification already on file with the Personnel Office provided the type requirement has been met.
